About the Role

The Team Coordinator is a pivotal operational position responsible for delivering comprehensive administrative, financial, and project coordination support to the Head of Operational Transformation and supporting the wider Strategic Partners team. Operating with a high degree of autonomy, discretion, and attention to detail, the successful candidate will manage critical divisional workflows, coordinate strategic business initiatives, and act as a central point of contact for senior leaders and divisional peers..

 

What You Will Be Doing

 

1. Executive & Operational Administration

  • Executive Support: Provide high-level executive support to the General Manager, including complex diary management, scheduling across digital platforms (MS Teams), and coordinating end-to-end travel and accommodation logistics.
  • Correspondence & Documentation: Draft, review, and distribute professional corporate correspondence, memos, agendas, and minutes of meetings to a high standard of accuracy and confidentiality.
  • Onboarding & Asset Management: Coordinate the administrative elements of staff recruitment, onboarding, and offboarding, ensuring compliance with established divisional procedures.

2. Project Coordination & Status Reporting

  • Project Tracking: Support project delivery deadlines by tracking progress, maintaining key reporting artefacts (including risks and issues registers), and proactively escalating timeline variances to Project Leads.
  • Cross-Functional Liaison: Act as a central coordinator to facilitate cohesive communication between the project team and relevant internal bank departments.
  • Documentation Standards: Assist in the development of project and presentation materials in strict alignment with corporate templates and guidelines.

3. Financial Management

  • Financial Compliance: Prepare and process corporate expense claims, invoices, and purchase orders in accordance with finance policy and delegated approval authorities.
  • Expenditure Monitoring: Track staff travel and business expenditure to ensure compliance with Group financial policies.

 

 

What You Will Bring to the Team

 

To be successful in this role, you will possess a unique blend of analytical thinking, exceptional communication skills, and the ability to juggle multiple tasks and prioritise actions. You will also bring:

  • Professional Experience: Proven experience in a senior administrative, team coordination, or project support capacity, ideally within the banking, finance, or corporate services sectors.
  • Interpersonal & Communication Excellence: Exceptional written and verbal communication skills, with a demonstrated capacity to build relationship networks and liaise professionally with Executive and Senior Leadership.
  • Operational Agility: A calm, adaptable, and proactive approach to managing competing priorities and meeting tight deadlines under minimal supervision.
  • System Capabilities: Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint), with experience utilizing MS Project and Visio viewed favourably.
  • Risk & Integrity Management: Highly developed discretion and professional integrity, with a proven track record of maintaining confidentiality and adhering to compliance policies and corporate procedures.

This is a full-time, 6-month fixed term based in any of our major head office locations.
